Submissions Guidelines

Submitting a Vetted Proposal
Deadline for submissions: 11:59 PM JST, Friday 24th April, 2009
Deadline for unvetted submissions: 11:59 PM JST, Friday 29th May 2009
Please follow the steps below to ensure your vetted submission is received in its complete and correct form.
Important: Emailed, mailed, or faxed proposals will NOT be accepted.
Titles must be no more than 50 characters including spaces. Titles must be in English.
Prepare a summary (maximum of 75 words or 150 Japanese characters) and an abstract (150-250 words or 300-500 Japanese characters). Following the steps below will help ensure your submission is received properly.
Plain text only. Don’t format your document with tabs, bold text, bullet marks or multiple line breaks between paragraphs. Please note: All formatting will be stripped when the document is submitted to the database and sent to the reading committee.
Use straight quotes and apostrophes, not curly quotes (” ” are straight; “ ” are curly).
Use a single space only after punctuation such as periods, not double spaces.

Enter all your submission details following the on-screen instructions. Once complete, submit your summary and abstract. DO NOT SEND BY EMAIL. Only website submissions will be accepted.
As all correspondence from the program committee regarding your submission will be via email, please ensure you enter a correct working email address! Also, be sure to notify the program team of any changes in your contact address. If we cannot contact you via email, your submission will be dropped.
Once you submit your presentation, you will receive an automatic confirmation email message listing the details of your submission. In most cases this confirmation email will be sent within a few seconds of your submission. This email message is your receipt to show your submission has been received and entered in the conference database. PLEASE KEEP A COPY of this message in case of any queries or problems related to your submission. If you DO NOT receive a confirmation email message, please contact the database manager to check the status of your submission. Please Note: If using a webmail service such as Gmail, Hotmail or Yahoo, check your spam folder or bulk mail folder first.) In most cases, failure to receive confirmation mail means the presentation details were not submitted correctly.
Important Note
ERRORS IN THE SUBMISSION PROCESS ARE ENTIRELY THE RESPONSIBILITY OF THE SUBMITTER. IN CASES WHERE THE VALIDITY OR LEGITIMACY OF A SUBMISSION IS IN QUESTION, A COPY OF THE EMAIL RECEIPT MUST BE PROVIDED AS PROOF OF SUBMISSION BEFORE THE OFFICIAL DEADLINE.

Deadline
The deadline for vetted proposals is midnight, Friday, April 24th, 2009, Japan Standard Time. NO late submissions will be accepted after this date.

Presentation rooms at JALT2009 will be organized according to the interest areas below, which closely parallel JALT Special Interest Groups (SIGs). These are divided into two main sub-groups:

Presenters should indicate BOTH which learning/teaching context they are targeting AND which content area they feel the presentation best fits.
Formats
Choose the format that best suits the presentation that you want to make. If your submission is deemed inappropriate for the requested format, we may suggest an alternative. For example, you may be asked to form a panel with other presenters speaking on a similar topic, or you may be asked to change your planned presentation into a poster session.
a) Short Paper: (25 minutes)
A formal, presenter-centered lecture where ideas or research results concerning either theory or practice are presented and audience questions answered. Opportunities for audience participation are limited.
b) Workshop: (60 minutes)
Presenter(s) model activities, display materials, outline tasks, or introduce issues for discussion. Participants take an active part.
c) Long Paper: (60 minutes)
A limited number of long paper submissions will be accepted, depending on space available. Only those long papers rated highest in the selection process will be considered. Presenters may be asked to do a short paper instead.
d) Forum: (95 minutes)
Multiple presenters give presentations on a similar topic. A Forum can also be convened as a roundtable discussion or a panel discussion.
e) Poster Session: (120 minutes)
Poster presentations with charts, graphs, illustrations, and summaries convey information quickly and effectively, without the formality of other types of presentations. Please note that audio-visual equipment cannot be used. Posters may be displayed for longer than the specified time, but presenters should be with their posters during the specified 2-hour period on the conference schedule in order to answer questions. Poster sessions allow the presenter to enjoy more one-to-one communication with conference participants.
f) Meeting: (60 minutes)
This format is unvetted and is restricted to JALT business and alumni meetings. No other requests for this format will be accepted.

Language
Presentations may be delivered in any language although English and/or Japanese are used in the main. If you plan to submit a proposal in a language other than English or Japanese, please contact conf-program@jalt.org for further details.
