The JALT2020 International Conference and Educational Materials Exhibition will be fully online on the eventzil.la conference delivery platform. JALT hopes that our members, local colleagues, and international colleagues, especially those who may not have been able to join us in the past, can join our online conference during the week of November 16 – 23. JALT is offering special conference rates for this unique opportunity, and they include access to all presentation sessions, meetings, the materials exhibition area, and events, including the Friday afternoon Technology in Teaching (TnT) and Professional Development (PD) workshops. Important: Once you have completed your conference payment, you will be issued a ticket code that you will use to enter the conference site during the conference week on 16 – 23 November. Details of how to access the code will be included in the email notification you receive after checkout. Please keep a record of this as you will not be able to attend the conference without this code. 8,000 yen for presenters and participants who are NOT members of JALT: Click here to pay if you are not a JALT member. 5,000 yen for presenters and participants who are JALT members whose membership is valid through 30 November 2020: Payment for JALT members. 5,000 yen for valid ETA-ROC (Taiwan JALT Partner) and KOTESOL (South Korean JALT Partner) members: JALT Partner member payments. 2,000 yen for Global Professionals for presenters and participants—nationals of the following countries currently residing in the country of their nationality are applicable for the Global Professional discount: Make your payment here. 2,000 yen for Full-Time Students, as well as for Seniors who are JALT members: Student and Senior payments for JALT members / Student payment for non-JALT members. How to Pay You can pay online or by postal payment (postal furikae, details can be found here) Online (credit card) payment will be available up to and throughout the conference dates of 16 – 23 November. Deadline for the postal furikae payment is postmarked on 2nd November (Monday). Please note that presenters MUST make their payment by 25 October 2020, to remain in the program. Discount for Senior Members of JALT and Full-time Students If you are a JALT member who will be 65 on or before 16 November, or are a full-time student, you are eligible for a conference discount. The discount system works as follows: Senior Discount If you wish to apply for the senior discount, you must be a JALT member. There are a range of membership options available. Please note that some options are only available to people who are Japan-based. If you are not a JALT member, a copy of ID that has your date of birth on it will be required. If you are already a Senior JALT member and your membership is valid through 30 November, then you don’t have to submit any further documentation. If you have another type of JALT membership you will need to provide proof of age. Student Discount If you are a full-time university student and wish to apply for the full-time student discount option, you must provide proof of full-time student status before registering or on the day of your application. If you are already a JALT student member and your membership is valid through 30 November, then you don’t have to submit any further documentation. There are several ways you can verify your full-time student status: Submit the JALT Verification of Full-time Status form. Download it here in English or Japanese (PDF format). Submit a copy of your student ID (English or Japanese). Please note this option is ONLY possible if your ID indicates full-time status. Submit a document in English or Japanese that has your university’s letterhead on it and states you are a full-time student. Payment Deadline Please note that presenters MUST pay their conference fees by 25 October 2020 to remain in the program. Postal payments must be postmarked up to the 2 November 2020 deadline. No applications postmarked on or after 3 November will be processed. The postal payment system is not designed for regular payments so if any postal payments sent after the deadline are received, the sender will be charged an extra handling fee of 2,000 yen and be billed for the full regular conference rate. 2. Preregistration for presenters: Presenters must pay their conference fees by 25 October, (postmarked or online). Failure to do so will result in their presentations being canceled. 3. Cancellation Cancellations will be acceptable only if received in writing (postal mail or email) by JALT Central Office before the following deadlines, and are subject to the following cancellation charges: By Friday 6 November 5 pm: Cancellation charge 1,000 yen By Friday 13 November 5 pm: Cancellation charge 2,000 yen No refund will be given for any cancellation received after the second deadline, 13 November. Late refund requests that arise due to exceptional circumstances must be made in writing to JALT Central Office and will be dealt with at JALT’s discretion. Any requests for a refund must be made in writing, using the Cancellation Notice and providing full details, including bank name, branch name, account number and account name. Refund due, less the cancellation charge, will be paid into the registrant’s bank account by bank transfer after the Conference. If your bank information was not provided at the time of cancellation, the refund will be made by postal money order. 4. Receipt A receipt bearing the official JALT seal can only be issued within two weeks after the conference. Please send a request email to receipt@jalt.org. 5. Recording of Zoom Sessions at the Conference During the conference, some presentation will be held in Zoom Rooms. These presentations may be recorded, and used for JALT editorial, promotional, and advertising use. Presenters will decide if they want their session recorded before the session begins. By attending any given Zoom presentation session, you give consent to the use of your photograph, likeness, or video or audio recording in whole or in part without restriction or limitation for any educational, promotional, or distribution purpose. If you do not want to be videotaped, or have audio of your voice recorded kindly turnoff your computer camera or mute your microphone. Your understanding and cooperation are appreciated. 6. No-Show Presenters Policy All presenters are expected to show up for their assigned times at the annual international conference. While JALT conference planning appreciates the efforts that all presenters go through to make the conference a success, we take no-show presentations very seriously because our attendees are equally as important in making JALT conferences a success. Presenters who miss their presentations without good reason may not be accepted to present at future conferences. Any instance where presenters do not show up for presentations will be followed up by the program committee. Depending on the reason for the no-show, no-show presenters may be placed on a watch list, and notified of any future restrictions at the JALT international conference.
